Payroll Auditor helps find deviations on payrolls, based on user-defined check filters. The result is a report presenting a list of cases worth verifying even before the list is closed. Payroll mistakes happen regardless of the size of the company, and the consequences of errors are felt by both employers and employees. Too high or too low amounts transferred to accounts can cause frustration and sometimes irreversible consequences (employee departure, financial losses).
Payroll Auditor, created by BCC, is a helpful tool designed for employees responsible for the correctness of calculating payroll components. Based on the list of unusual cases displayed in the report, the payroll specialist has the opportunity to verify them and correct a possible error.
Faster verification, less risk of errors
At Hochland Polska, among the various payroll control activities, there are some that are extremely time-consuming to perform with standard reports. All for One Payroll Auditor speeds up the verification of payroll results and drastically reduces the risk of errors.
Among the functions that are carried out with Payroll Auditor in Hochland, it is worth mentioning:
- Search for settlement results below the minimum wage,
- Search for payroll components adjusted to the negative,
- Searching for employees with 100% and 50% overtime above the assumed value per person,
- control of the value of selected components (including deductions) with external source files,
- control of bonus component assignments to employees from selected HR sub-areas,
- search for cases in which the payout significantly exceeds the average for these employees calculated over the last 3 months.
Filters and configuration
Defined control filters work independently, it is possible to create any number of them. The user can save the selection criteria and filters as a variant of report execution. Employees whose payroll settlement results do not meet the requirements of the defined control are marked on the report result list. Thanks to the ability to run the application periodically in the background and send the report results to specific e-mail addresses only with negative control results, the time required for discrepancy analysis is brought to a minimum.
The basic control works by determining the minimum and maximum values that can occur in a given group of employees for specific wage components.
The analysis of averages is based on the calculation of average values of settled payroll components over user-specified months. The average value is compared with the current value. The result of the check is negative if the discrepancies are greater than the specified percentage.
The report criteria can determine whether the audit will be performed for the entire payroll or for a selected group of employees. Thanks to its flexible configuration, Payroll Auditor can also be used as a detailed payroll settlement results report. In addition to basic employee data, the report provides information on the tariff, payroll settlement details and payroll component properties.
Agnieszka Czekalska, Head of Human Resources Administration at Hochland Poland, emphasizes: “It’s hard to overestimate Payroll Auditor ‘s help in payroll accounting. The tool makes it easier for us to search for unusual amounts in paychecks and reduces the likelihood of erroneous transfers. We also use Payroll Auditor to report payroll results – we get statements that we couldn’t generate automatically with standard SAP HR reports. The tool increases our comfort when preparing a paycheck – we are now sure that nothing has escaped our attention before generating transfers."

No anomalies in wages
Companies using the payroll module in SAP HR deal with payroll auditing and verification in different ways. In organizations with several hundred and more employees, auditing payroll results becomes a difficult and time-consuming undertaking. Incorrectly entered number of overtime hours, the wrong method of loan payment chosen (in the payroll instead of off the payroll) or a bonus assigned to a person who should not be included in the bonus – such cases can be quickly detected using a specialized tool such as Payroll Auditor, which can compare the current payment with the average for the person in previous months.
It is extremely difficult and time-consuming to search for similar anomalies “on foot" for a large population of employees accounted for in payroll, without the support of an automated system. At little cost and in just a few days, it is possible to run a Payroll Auditor and increase the efficiency of payroll audits. Payroll Auditor is an off-the-shelf product – it only requires uploading a transport file to the SAP HR system. After defining control filters, you can already use the tool.
